Privacy policy
Effective October 10, 2026. Replaces any earlier version.
This page explains, in plain language, what information we collect, what we use it for, who we share it with, and what you can ask of us. It covers this website, our phone calls, our WhatsApp and text messages, our email and fax, and the documents you give us when you hire us.
1. Who we are
HC Financial Services Inc, 4700 N Hiatus Road, Suite 155, Sunrise, FL 33351, USA. Email: info@hcfinancialservicesfl.com · Phone: (954) 466-2004.
2. This website
When you visit the site, the server receives technical information: your IP address, browser type, the page you request, and the date and time. The site is hosted and delivered through Cloudflare, which handles that information to serve the pages and protect them from abuse. We do not place cookies, analytics or advertising tools, or content from other companies on this site; Cloudflare may use its own technical cookies to protect it.
The forms we use to collect information for our services (Typeform and Tally) are not on this site: we send them to you by link when they are needed. What you type in them (for example your name, contact details and the details of your matter) is received by those providers and passed to us.
We do not use the technical information to identify you or combine it with advertising. We do not sell visitor data.
3. If you call us
Our phone line runs on Twilio. When you call, a menu lets you choose a language, and during office hours we connect you with a person. If no one is available, you can leave a voicemail of up to 3 minutes: the recording and your number are saved as a case in our follow-up system (HubSpot) and emailed to our team so we can call you back.
4. If you message us on WhatsApp or by text
- The first WhatsApp reply comes from an artificial-intelligence assistant, not a person. We say so openly and, if you ask, the assistant confirms it. To produce replies, the text and images in the conversation are processed by an Anthropic model; voice notes are transcribed by OpenAI. When your request needs a person, the assistant opens a case and alerts our team.
- Text messages (SMS) you send us create a case for our team. Apart from an automatic confirmation of your first message, no automated assistant replies to them.
- WhatsApp is a Meta service, and message transport is governed by Meta's terms. WhatsApp and SMS are delivered through Twilio and your mobile carrier.
- We keep the conversation and any details you choose to give us in our systems and in HubSpot, to help you and follow up.
Your mobile number and your consent
We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. We do not sell, rent or share your mobile number or your text-messaging consent with third parties or affiliates for marketing or promotional purposes. The only third parties that see your number are those needed to deliver the message (your carrier and Twilio), and only for that.
Consent, frequency and costs
We only message you if you wrote to us first, or if you gave us your number and agreed to receive messages; we record when and how you agreed. Frequency depends on your matter, and we do not send mass campaigns. Message and data rates may apply.
How to opt out
If you reply STOP to a text message, the messaging system immediately blocks our messages to that number. You can also ask us to stop by replying BAJA, in your own words on any channel, or by emailing opt-out@hcfinancialservicesfl.com: we act on it within 5 business days. For help, call (954) 466-2004 or email info@hcfinancialservicesfl.com.
5. Email, fax and documents
Our email runs on Google Workspace. Faxes are sent and received through Telnyx. To sort and file documents that reach us by email or fax, an Anthropic artificial-intelligence model may read them to extract details such as the name or the document type. When we email you your completed return, an Anthropic model also reads the PDF to take your email address from it, and a copy of the return is kept in our follow-up system (HubSpot). We send documents for signature with Adobe Acrobat Sign, and we use professional tax preparation software to prepare and file returns. If you ask us for a translation, the document is translated by our translation partner, Roxo Translations, which receives it only for that purpose.
6. Your tax information has separate protection
Federal law treats your tax return information differently. Under Internal Revenue Code §7216, a preparer may not disclose it or use it for anything other than preparing your return, except where the law allows or where you first sign a specific consent stating exactly what is disclosed, to whom, and for what purpose.
In practice: we do not use your tax information to offer you other services or to ask you for reviews, and we do not show it to anyone outside your matter, without that signed consent. The providers in sections 3 to 5 that handle this information do so to provide the service we use to prepare and manage your matter.
7. Who we share it with
- Tax authorities, when filing with them is the service you asked for.
- The providers named in this policy, which serve us and handle it for that purpose.
- If you ask us to form a company: the registered agent and formation service we work with, and the state where the company is formed, receive only the company and owner details the filing requires.
- AV Engineering Corp, a company related to HC by common control, which runs our phone, WhatsApp, text-message, email and fax service and the systems that connect them (our automation platform is hosted by Hetzner). It handles your information only to provide that service to us, never for its own purposes.
- Anyone you authorize in writing (for example, if you sign a consent to publish a testimonial).
- When a law, court order or subpoena requires it.
We do not sell your information or release it for advertising.
8. How we protect it
As a firm that handles financial information, we are subject to the Federal Trade Commission's Safeguards Rule (16 CFR Part 314). No system is infallible and we will not promise otherwise. If a security breach affects your information, we will notify you as Florida law requires (Fla. Stat. 501.171).
9. How long we keep it
Your return records, for as long as the law requires a preparer to keep them. Everything else, while you are a client or while needed to handle your request. If you ask us to delete what we are not required to keep, we delete it from our systems and confirm what we deleted and what the law requires us to keep.
10. Your rights
You can ask for a copy of what we hold about you, ask us to correct something, stop messages, withdraw a testimonial, or ask us to delete what we are not required to keep. Email opt-out@hcfinancialservicesfl.com (or info@hcfinancialservicesfl.com). We process message and email opt-outs, and testimonial withdrawals, within 5 business days, and we confirm in writing when other requests are completed.
11. Children
We do not offer services directly to children under 13 or knowingly collect their information. If your return includes your children, that information reaches us from you, as their parent or guardian.
12. Changes
If we change this policy, we change the date above; if the change is substantive, we post a notice on the site.
